Event Management

Creating and Managing Events

Events are the top-level containers for your performances. Each event can contain multiple setlists and manage crew members.

Key Event Features:

  • • Custom Names: Click on any event name to rename it
  • • Real-time Updates: Changes sync instantly across all devices
  • • Multiple Setlists: Create different sets for the same event
  • • Crew Management: Add band members and technical crew
  • • Event Sharing: Generate shareable links for collaboration
Best Practice

Name your events descriptively: "Wedding - Smith Reception" or "Rock Festival - Main Stage"

You can manage multiple events simultaneously - perfect for tour planning!

Setlist Creation & Editing

Building Your Setlists

Setlists are ordered collections of songs and breaks. Build them easily with our intuitive interface.

Adding Content:

Songs
  • • Click "Add Song" to create entries
  • • Enter song names and optional durations
  • • Duration helps with set timing
  • • Songs can be marked as current during performance
Breaks
  • • Use "Add Break" for intermissions
  • • Perfect for equipment changes
  • • Set break durations for accurate timing
  • • Helpful for sound checks and setup

Editing Features:

Drag & Drop Reordering

Click and drag songs to reorder them. Changes save automatically and sync across all devices.

Duration Management

Set durations in minutes to track your total set time. Great for venues with time limits.

Song Management

Edit song names inline or delete songs you no longer need. Minimum one song required per setlist.

Auto-Save System

Changes save automatically every 3 seconds. Never lose your work, even if you forget to save.

Performance Mode

Going Live

When you're ready to perform, take your setlist live to enable real-time features and performance view.

Live Mode Features:

  • • Real-time Sync: All connected devices update instantly
  • • Performance View: Clean, large-text display for easy reading
  • • Current Song Tracking: Highlight the currently playing song
  • • Timer Integration: Synchronized countdown timers
  • • Crew Messaging: Send messages to band and crew

How to Go Live:

  1. 1. Complete your setlist with at least one song
  2. 2. Click the "Go Live" button
  3. 3. Your setlist status changes to LIVE with a red indicator
  4. 4. Share the view link with your audience or crew
  5. 5. Click "End Live" when your performance is complete
Performance View

The view link shows a clean, audience-friendly display of your current setlist with large, readable text.

Live Protection

Only one setlist per event can be live at a time, preventing confusion during performances.

Auto-Save System

Never Lose Your Work

Setflow automatically saves your changes, so you never have to worry about losing your work.

How Auto-Save Works:
